‍

Dear Valued Guests,

‍

Thank you for your continued patronage of Carta Hotel Kyoto Gion.

We regret to inform you that unauthorized access by a third party occurred on WASIMIL (provided by AZOO Inc.), the hotel system we use to manage reservations, and that some of the personal information of guests registered with our hotel may have been leaked.

We sincerely apologize for the serious concern and inconvenience this has caused you.

‍

Please kindly refer to the official press release from AZOO Inc. below.
https://www.wasimil.com/press-release/incident-report-20261021

▪️What happened

Unauthorized access from outside occurred between October 13 and 17, 2026, and on October 19 the system provider confirmed that information may have been leaked.

▪️Information that may have been leaked

Of the following information on guests (both those who made reservations and accompanying guests) who stayed at or made a reservation with our property on or before October 17, 2026, any items you had provided:

Name, gender, age, date of birth, nationality

Email address, phone number, address, emergency contact

Reservation number, dates of stay, room, number of guests, accompanying guests, amount charged

Passport number, information entered during online check-in (such as allergies and special requests)

As we have been informed that it is not possible to identify exactly which information was obtained for each individual guest, we are contacting all guests who stayed at or made a reservation with our property on or before October 17, 2026 regarding the possible leak of their information.

‍

Credit card information (card numbers, expiration dates and security codes) and passport images are not stored in the system and are therefore not at risk.

▪️Cause and response

The cause was a vulnerability in a publicly accessible function of the system, which was fixed on October 19, 2026. We have been informed that there has been no unauthorized access since October 17, 2026, and that there is no evidence that any data was altered or deleted.

This incident has been reported to the Personal Information Protection Commission of Japan.

▪️Please be careful of suspicious messages

We have confirmed cases in which suspicious emails, SMS, and messaging-app messages (such as WhatsApp) have been sent using information that may have been leaked, pretending to confirm or re-verify a reservation and asking guests to enter credit card details or make a payment.

Our property will never ask you to enter your credit card information via email or messaging apps. If you receive such a message, please:

Do not open any URLs or links in the message

Do not enter credit card or personal information

Do not reply to the message

To check your reservation, contact our property or the official customer service of the booking site you used directly.
If you have entered your credit card information on a suspicious website, please contact your credit card company and the police as soon as possible.

As criminals may continue to misuse obtained information for some time, we kindly ask you to remain cautious of suspicious messages going forward.

Together with the system provider, our property will further strengthen security measures to prevent a recurrence. Once again, we sincerely apologize for the serious concern and inconvenience this has caused you.
